Conference Season Is Coming: Your Event Merch Timeline, Working Backwards

Spring hits and Melbourne's events calendar wakes up — conferences, expos, awards nights, end-of-year summits, all stacked into the same few months. Every year, a wave of businesses discovers their event date in their calendar and their merch nowhere in production.

Event dates don't move. So let's plan backwards from yours.

The golden rule: 8 weeks out, minimum

Standard lead time for most custom products is 2–6 weeks from artwork approval — and the phrase doing the heavy lifting there is from artwork approval. Before production starts, you need to choose products, get a quote, finalise artwork, and sign off a digital mockup. That front half is where timelines quietly die, usually waiting on someone internal to approve a logo file.

Eight weeks of runway makes the whole thing calm. Here's how it breaks down.

Your week-by-week countdown

8 weeks out — brief your supplier. You need three things: expected foot traffic, your budget, and what you want merch to do (drive booth visits? reward qualified leads? kit out staff?). Send that; a good supplier turns it into a product shortlist and quote. We usually suggest a tiered structure — low-cost items for all visitors, better items for real conversations, a few premium pieces for hot prospects.

7 weeks out — lock products, request samples. Samples are available on request and they matter: fabric weight, bottle finish and print quality are physical, not theoretical. Order booth-staff apparel in this pass too — with our 12-piece total minimum across mixed styles, kitting five staff in cuts they'll like is easy.

6 weeks out — artwork and mockups. Send final logo files. If your logo needs simplifying for embroidery or small-format items like pens, this is when that happens. You'll receive digital mockups for sign-off — production doesn't start without your approval, so the faster this approval moves internally, the safer your date.

5–2 weeks out — production. Your job here is mostly done. Use the time to plan the booth logistics: who transports what, how tier-2 and tier-3 gifts get handed out (and by whom), and where leftover stock lives afterwards.

1 week out — delivery and pack-down. Merch arrives ($10 flat shipping nationwide, or free pickup from our Chadstone studio if you're local — handy for last-minute weight checks). Count it, split it by tier into labelled boxes, and brief the booth team on who gets what.

Doing multiple events? Order once.

If your season includes three events, resist ordering per-event. One consolidated order pushes you into better price breaks — pens that halve in unit price at 250, socks that drop from $7.98 to $5.61, chocolate minis down to $0.67 at volume (all ex-GST) — and one production run means one timeline to manage instead of three. Undated designs (logo, not "EXPO 2026") carry over to whatever comes next, including next year.

Returning customers also get no setup fees and priority handling with us, which effectively makes every event after your first one faster and cheaper.

If you're reading this late

Already inside the 8-week window? Don't panic — talk to us today and be decisive. Shorter runways mean choosing in-stock-style products with faster decoration, approving mockups same-day, and skipping the sample round. It's doable more often than you'd think; it's just not restful.

Email hello@madebyspool.com.au with your event date and we'll tell you honestly what's achievable — and build the timeline back from there.
